Privacy Policy

How we handle your information

The South Indian Society at UC Berkeley (“SIS”, “we”) is a student group acting independently of the University of California. This policy explains what information we collect through sisberkeley.org, how we use it, and the choices you have.

What we collect

If you apply to join the board: the answers you give on our application form, including your name, Berkeley email address, pronouns, year, written responses, the committees you are interested in, and any photo or portfolio links you choose to share.

If you book an interview: the time you choose and any changes you make to it.

If you are on the board: your name and email address, the times you say you are available to interview, and the shifts you are given. When you check in to a board meeting, we record the time, an identifier for the device you used, and — only if you allow it — your approximate location, to confirm you were at the meeting.

If you visit the site: basic, aggregated statistics such as which pages are viewed. These do not use cookies to follow you around the web.

How we use it

We use this information only to run SIS: to review applications, schedule and hold interviews, send you emails and calendar invitations about your application or interview, keep track of board attendance, and understand how the site is used.

Board members read and discuss applications. We may also use automated tools to help reviewers read written responses more carefully. Those tools never make a decision — every decision is made by people on the board.

We do not sell your information, and we do not use it for advertising.

Google Calendar

To send interview invitations, the SIS Google account allows this website to create, update and cancel events on SIS’s own interview calendar. We use that access only to manage interview invitations: when you book, move or cancel an interview, we add, change or remove the matching event and Google emails the invitation to you and your interviewers.

We do not access anyone else’s Google account. Applicants and board members receive invitations as ordinary guests and never sign in to Google through our site. Guests on an invitation cannot see one another’s email addresses.

SIS’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Who we share it with

Your information is seen by the SIS board members who need it — for example, the people reviewing applications for a committee, or the two people interviewing you. We also rely on a small number of service providers to host the website, store data, deliver email and send calendar invitations. They handle your information only to provide those services to us.

We will share information if the law requires it, and not otherwise.

How we protect it

Information is sent to and from the site over encrypted connections. Review and administration tools are password protected and limited to board members who need them, and links we email you are personal to you.

How long we keep it

We keep application, interview and attendance information only as long as we need it to run recruitment and hand the board over to the next year’s members, and then delete it. Calendar invitations remain in the calendars of the people who received them, as with any invitation.

Your choices

You can ask us what information we hold about you, ask us to correct it, or ask us to delete it, by emailing sisberkeley@gmail.com. Deleting an active application withdraws it.
